n8n WhatsApp Business API Setup: A Beginner's Guide for Automation
What you need before building any n8n WhatsApp bot: the difference between the WhatsApp Business app and the Cloud API, the Meta setup, the 24-hour rule, templates, and the errors almost everyone hits.
Almost every business automation people want starts with WhatsApp: reply to leads instantly, confirm bookings, send reminders. Before you can build any of that in n8n, you need the right WhatsApp setup. This is where most beginners get stuck, so here's a clear guide.
WhatsApp Business app vs WhatsApp Business Platform
| WhatsApp Business app | WhatsApp Business Platform (Cloud API) | |
|---|---|---|
| What it is | The phone app | Meta's API for businesses |
| Can n8n automate it? | No | Yes |
| Typical use | Manual chats | Bots, reminders, notifications |
n8n's WhatsApp nodes work with the Cloud API. If you only have the phone app, you can't automate it with n8n.
What you need
- A Meta developer account and a Meta app with the WhatsApp product added.
- A phone number registered to the Cloud API. Meta gives you a test number to start.
- Your Phone Number ID and an access token (use a permanent system-user token for production).
- An n8n WhatsApp Trigger (incoming messages) and a WhatsApp node (sending).
How messages reach n8n
When someone messages your number, Meta sends the message to a webhook. The n8n WhatsApp Trigger provides that webhook and handles Meta's verification. From there, your workflow can do anything: reply with AI, save to a CRM or alert your team.

The 24-hour rule and templates
- When a customer messages you, a 24-hour window opens. Inside it, you can reply freely.
- To message someone outside that window, for example a reminder the next day, you must use a pre-approved message template.
- Plan your templates (booking confirmation, reminder, review request) early, because approval takes time.
Meta charges per conversation, and pricing depends on the country and the conversation category. Check Meta's current pricing page for your market.
Errors almost everyone hits
- Using the phone number instead of the Phone Number ID. The sending node needs the ID from the Meta dashboard.
- The app is still in development mode. Then it only works with numbers you've added as testers. Switch to live mode for real customers.
- Webhook verification fails. The verify token in Meta must match exactly, and the workflow must be active.
- A temporary access token expires. Use a permanent system-user token for anything in production.
What to build first
- An AI auto-reply bot that answers in the customer's language and qualifies leads.
- Booking confirmations and reminders with templates.
- A hot-lead alert to your phone through Telegram.
Frequently asked questions
Can I use my existing business number?
Yes, but a number registered to the Cloud API is moved away from the normal WhatsApp Business app (unless you use a coexistence setup through a provider). Many businesses use a new dedicated number for the bot.
Is the WhatsApp Cloud API free?
Setting it up is free. Meta charges per conversation based on country and category, and some service conversations are free. Check Meta's current pricing for your country.
Do I need a verified business?
You can start testing without it. For higher sending limits and some features, Meta asks you to verify your business.
Does n8n have a WhatsApp node?
Yes. n8n includes a WhatsApp Trigger for incoming messages and a WhatsApp Business Cloud node for sending text, media and templates.
Our Real Estate, Gym, Clinic and Restaurant n8n ebooks each include a WhatsApp AI bot built on the Cloud API, with a setup video for the Meta configuration.
