12 n8n Automations for Restaurants: WhatsApp Orders, Reservations and No-Show Reminders

Twelve n8n automations that take orders and bookings on WhatsApp, answer the phone with AI, cut no-shows with reminders, win back lapsed guests and give the owner a remote control on Telegram.

A restaurant's busiest hour is also when nobody has time to answer the phone or WhatsApp. That's when orders and bookings are lost. These twelve n8n automations cover the full guest journey, from the first message to the next visit, and they all work from one Google Sheets CRM.

Capture and respond

1. One CRM for every enquiry

Website forms, Meta lead ads and booking requests all go to one n8n webhook. Phone numbers are cleaned, duplicates are caught and every guest lands in a Restaurant Customers sheet.

2. AI intent and priority

An AI agent tags each enquiry as an order, reservation, event or general question and sets a priority. A party booking for 40 people is flagged above a question about parking.

3. Instant manager alert

The manager gets a Telegram summary seconds after any new enquiry, so large bookings and complaints are seen immediately.

WhatsApp ordering and reservations

4. An AI waiter on WhatsApp

Guests message your WhatsApp Business number. The AI replies in their language, recommends dishes from your live Menu sheet, takes the order or books a table, and confirms the details back.

5. Dish photos on request

When a guest asks "what does the biryani look like?", the bot sends the photo stored in your menu sheet. Photos sell food better than descriptions.

6. Orders and bookings saved automatically

Each confirmed order goes to an Orders tab and each booking to Reservations, with a Telegram alert to the front desk. Staff work from the sheet, not from screenshots of chats.

Phone calls

7. AI phone receptionist

A voice agent answers calls, checks availability and books tables during the call. After every call, AI writes a summary to the CRM and notifies the manager.

8. Confirmation calls for big bookings

For large or high-value reservations, the voice agent calls the guest a few hours before to confirm. It's polite, and it gives you time to release the table if plans changed.

Fewer no-shows, more repeat visits

9. WhatsApp reminders before every booking

Every two hours, a workflow finds upcoming reservations and sends a reminder with the time and a one-tap way to cancel. A reminder is the easiest way to reduce no-shows.

Reminders, no-show reducer and win-back workflow

10. Win-back offers for lapsed guests

Guests who haven't visited in 30+ days get a friendly WhatsApp offer. The workflow marks them so nobody gets the same offer twice.

11. "Today's Specials" post written by AI

On demand, AI turns today's specials into a ready-to-post caption and saves it to Drive for your social media.

Owner's remote control

12. Telegram control bot, morning digest and review requests

The owner can text the bot "how many bookings tonight?" or "add reservation for Mehta, 6 people, 8:30". Every morning there's an AI briefing, and with one command recent diners get a Google review request. You can also start a message with "broadcast" to send an offer to every customer who opted in.

Mistakes we see often

  • The bot never shows the menu. The Menu tab is empty or the Sheet ID on the search tool is wrong.
  • Guests get two reminders. The update must match on Reservation ID, and the "Reminder Sent" column must be written.
  • Broadcasting to people who never opted in. Only message customers who contacted you or agreed to offers. WhatsApp blocks numbers that get too many spam reports.

Frequently asked questions

Can n8n take food orders on WhatsApp?

Yes. With the WhatsApp Business Cloud API, an n8n AI agent can read your menu from Google Sheets, take the order, confirm it and save it to an Orders sheet, with an alert to your staff.

Does this replace Zomato or Swiggy?

No. It handles orders and bookings that come directly to you, such as regulars, nearby offices and party bookings, where you pay no commission. Most restaurants run both.

Can the AI answer phone calls for reservations?

Yes. A voice AI agent answers or places calls, checks availability through an n8n webhook and books the table during the call, then logs a summary.

How hard is the setup?

You import the workflow JSON, connect your accounts and fill your Menu and Reservations sheets. No coding is needed. Most restaurants start with the WhatsApp bot and reminders.

Every workflow here is explained node by node in our Restaurant ebook, with ready JSON and setup videos for each account.
